The Purchase Officer is responsible for sourcing, negotiating, and purchasing goods and services required by the organization while ensuring quality, cost-effectiveness, and timely delivery. The role involves vendor management, inventory coordination, and compliance with company procurement policies

Key Responsibilities

• Identify and evaluate suppliers based on quality, price, delivery, and service
• Obtain quotations and negotiate pricing, payment terms, and contracts
• Prepare and process Purchase Requisitions (PRs) and Purchase Orders (POs)
• Monitor order status and ensure timely delivery of materials
• Coordinate with stores, operations, kitchen, and accounts departments
• Maintain supplier records and develop strong vendor relationships
• Compare market prices and drive cost-saving initiatives
• Ensure purchased items meet quality standards and specifications
• Resolve supplier issues related to deliveries, shortages, and quality concerns
• Maintain accurate procurement documentation and reports
• Track inventory levels and support replenishment planning
• Ensure compliance with company procurement policies and procedures

Required Qualifications

• Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, or a related field
• 2-5+ years of experience in purchasing or procurement
• Experience in hospitality, catering, food service, or FMCG industry preferred

Skills and Competencies

• Strong negotiation and vendor management skills
• Knowledge of procurement procedures and supply chain operations
• Proficiency in MS Excel, ERP, and procurement software
• Good analytical and cost-control skills
• Excellent communication and coordination abilities
• Attention to detail and problem-solving capability

Preferred for Catering Industry

• Knowledge of food commodities, packaging materials, housekeeping items, and kitchen equipment procurement
• Experience handling multiple sites or units and emergency purchasing requirements
