Project Coordinator

HR-EX Consulting is recruiting a remote Project Coordinator on behalf of its client to manage scheduling, client communications, subcontractor logistics, and documentation across multiple active construction and home improvement projects. This full-time role requires direct alignment with US Eastern Standard Time (8:00 AM – 5:00 PM EST).

• Multi-Project Management: Oversee and track the full lifecycle of 10 to 20 concurrent projects from deposit collection to final job closeout.

• Dashboard & Workflow Tracking: Maintain daily project phases, payment milestones, vendor POs, change orders, and client updates in HouzzPro and ClickUp.

• Logistics & Field Coordination: Conduct pre-flight checks before job commencement, coordinate crew schedules, track material deliveries, vendor invoices, and manage subcontractor compliance (COIs, W-9s).

• Client & Stakeholder Communication: Keep clients informed on start dates, project milestones, delays, and payment schedules while providing daily/weekly visibility updates to company leadership.

• Job Costing & Scope Administration: Review project scopes, assist with job costing, identify potential out-of-scope work, and process change orders promptly.

• Education: Bachelor’s Degree in Project Management, Business Administration, Construction Management, or a related field (preferred).

• Experience: Minimum of 3 to 5 years in project coordination, project administration, or operations support.

• Industry Background: Direct experience in construction, home improvement, or property management is highly preferred.

• Software Tools: Hands-on proficiency with specialized platforms like HouzzPro and workflow tools like ClickUp.

• Schedule Alignment: Must be fully available during 8:00 AM – 5:00 PM EST working hours.

• Outstanding organization and multi-tasking skills to handle fast-paced, concurrent project schedules.

• Clear customer-facing communication and stakeholder management abilities.

• Proactive risk management to catch delays, material bottlenecks, and scope creeps early.
